# Subprocessor Change Notification Policy

**Version 1.0 — April 18, 2026**

## Commitment

WiseBoard provides **30 calendar days' advance notice** to subscribed school districts (LEAs) before:
1. **Adding** a new subprocessor that will process Covered Information; or
2. **Materially changing** the function or data scope of an existing subprocessor; or
3. **Changing the country/region** in which a subprocessor stores Covered Information.

## How notice is delivered

- **Trust Center page:** the dated subprocessor list at `/trust/subprocessors.md` is updated and the change is added to a public changelog at the bottom of that page.
- **Direct email:** an email to each LEA's Trust Center contact on file (recorded at DPA execution).
- **Banner in the Organization Console:** logged-in LEA admins see a notice banner with a link to the changelog for 30 days.

## Right to object

An LEA that objects to a proposed subprocessor change may, within the 30-day notice window:
- Request a written explanation and the proposed subprocessor's data-protection commitments;
- Suspend the affected feature for the LEA's users (where the subprocessor underpins an isolated feature, e.g. an LMS export integration); or
- Terminate the DPA without penalty if WiseBoard cannot reasonably accommodate the objection.

## Subscribing to notices

Email `info@mywiseboardclassroom.com` with subject `subprocessor-notify` and the LEA name to be added to the notification list. (Districts with an executed DPA are added automatically.)

## Emergency replacement

If a subprocessor must be replaced on shorter notice for security reasons (e.g. the existing subprocessor suffers a breach or terminates service), WiseBoard will:
1. Notify LEAs as soon as practicable, and in no event later than 7 days after the replacement begins.
2. Document the emergency reason in the changelog.
3. Treat the change as a SEV-2 incident under the Incident Response Runbook.
