AI Usage Disclosure
What AI does in WiseBoard, what data is sent to OpenAI, and how districts can opt out.
The 90-second answer
WiseBoard uses OpenAI's GPT-4o family of models for every AI feature in the product. We do not train any models on customer data, we do not use any other AI vendor, and every district can disable all AI features for their entire organization with a single toggle.
What AI is used for
| Feature | Triggered by | Sends student PII? |
|---|---|---|
| Lesson plan / sub plan / quiz / bell-ringer / exit-ticket / newsletter generators | Teacher | No |
| Pip pep-talk note | Teacher | First name only |
| AI feedback on student writing | Teacher | Yes ; student writing |
| Pip's Study Hall (student tutor) | Student | Yes ; student messages |
| Standards mapper / vocabulary builder / reading differentiator / translate | Teacher | No |
The two features that process student PII are clearly labeled in-product with an "AI" badge.
OpenAI vendor terms in plain English
- OpenAI does not train its models on our API traffic. This is the API default (separate from ChatGPT).
- Zero data retention is enabled at the API-key level for any traffic that may include student PII.
- No human review of zero-retention traffic.
- EU Standard Contractual Clauses are in place via OpenAI's DPA.
The full OpenAI DPA is available on request as part of our subprocessor packet.
District opt-out : how the toggle works
Every WiseBoard organization has an AI features enabled flag (default on). When a district owner sets it to off:
- Every AI endpoint returns an immediate refusal with no payload sent to OpenAI.
- Every in-product AI button is replaced with a tooltip directing users to their administrator.
- Pip's Study Hall is hidden from students.
- The Family Portal AI translate button is hidden.
- The toggle takes effect within seconds across the whole org.
A district can re-enable AI at any time with the same toggle. Per-feature opt-out (e.g. lesson-plan AI yes, Study Hall no) is on the roadmap; until then, contact us for a stopgap server-side override.
Maintenance
Reviewed quarterly OR on any change to OpenAI's data-handling terms, adoption of a new AI vendor, new state-level AI-in-education law, or any new AI feature in the product.
